Enhancing Operational Efficiency and Creative Operations at Typeform with a Custom Notion Solution
Client Overview:
Typeform, a leader in the SaaS industry, specializes in creating dynamic, user-friendly online forms, surveys, and quizzes. Their platform is renowned for its intuitive design and engaging user experience, making it a favorite among businesses seeking to gather insights and interact with their audience in a more conversational manner. Typeform’s commitment to innovation and user-centric design has positioned it as a key player in digital data collection and interaction.
Challenge:
Despite leveraging Notion across the company, Typeform faced challenges organizing within the tool. Departments, Teams, and Sub-Teams largely used it as a page-based filing system without a standardized operating framework and database architecture; this limited their ability to use Notion as a comprehensive operational management tool. Common themes we heard from Marketing Leadership and Managers was around uncertainty on what was being worked on by which teams, which platform held the source of truth, the need for large amounts of unnecessary meetings, and tons of operational friction for employees and managers to just work. The Marketing Department at Typeform identified two critical needs: firstly, to enhance visibility across teams and individuals for a centralized view of progress towards objectives and project management, and secondly, to develop a customized application for managing tickets in creative operations support.
Solution:
Our team embarked on a one-month implementation project to revolutionize Typeform’s use of Notion, focusing on a 50-person team within the Marketing Department. We leveraged Notion State’s Perspectives Methodology to develop a standardized system for all components of their Operating Model to centralize OKRs, Projects, Tasks, Meeting Notes, Files, and Ideas. This system was designed with a standard view across all teams, ensuring an intuitive, user-friendly, and scalable interface.
In addition to the standardized system, we conducted an in-depth analysis of Typeform’s existing creative operations processes. Based on this, we built a custom application tailored to their specific needs. This application not only integrated seamlessly with their new Notion system but also provided a streamlined process for teams outside the Marketing Department to request support.
Results:
- Broad User Adoption: Successfully implemented the system for the entire marketing department. This initial implementation includes 50 Typeform users, 4 partner agencies, and operating spaces for 12 teams / sub-teams.
- Operational Transformation and Visibility: The new system provided a holistic view of the department’s objectives, projects, and tasks, significantly improving task management and progress tracking.
- Customized Creative Operations: The bespoke application for creative operations support streamlined ticket management, capacity management, and analytics, enhancing the efficiency and responsiveness of the creative team.
Conclusion:
This project demonstrates the transformative power of a customized Notion solution leveraging Notion State’s Perspectives Methodology. By combining Typeform’s Operating Model with Notion State’s HQ and OS framework, we addressed a broad spectrum of operational challenges within a large organization. For Typeform, the transition to a more structured and integrated system in Notion marked a significant step forward in operational efficiency, particularly in the Marketing Department. The success of this project highlights the importance of tailored solutions in maximizing the potential of collaborative tools like Notion, ensuring they align with the unique needs and workflows of different teams within an organization.
